Communications Coordinator

JOB TITLE:                              Communications Coordinator 
FUNCTIONAL AREA:       Program Delivery
FLSA STATUS:                      Regular, Exempt, Full Time
REPORTS TO:                       Communications Manager
 
Core Functions:
The Communications Coordinator for the Irvine Ranch Conservancy supports a variety of marketing, public relations, and traditional and social media projects for the Conservancy. The Communications team works to connect people to the lands and resources of the Irvine Ranch Natural Landmarks and other Orange County wildlands. The Communications Coordinator will support development and distribution of a wide range of electronic and printed collateral, assist in management of the Conservancy and Landmarks websites, and perform both programmatic and administrative tasks focused on achieving the mission and goals of the Conservancy and its partners.
 
The Communication Coordinator will collaborate closely with partners, volunteers and other Conservancy employees on outreach and communications projects, events, and programs. Must have excellent writing skills in the areas of feature writing, press releases, newsletter articles, brochure copy, website content, and email communications with the public. This position will be responsible for performing research efficiently to gain background information for written content. Will maintain and utilize an extensive image catalog and database to select photos for communications efforts. Interacts with the public, partners, volunteers and staff regularly in a customer service role, handling inquiries about activities and website use. Will maintain a variety of communications task calendars and prioritize work milestones to meet short-term and long-term deadlines.
 
The position requires an organized, dependable self-starter who can prioritize a number of tasks and projects at once, as well as produce high-quality work for different audiences under tight deadlines. It is critical that the team member embrace both exciting, big-picture projects and mundane tasks with equal gusto and attention. Applicants should have good written and oral communications skills, knowledge of AP writing style, working knowledge of websites, databases and social media, the ability to work on tight deadlines and enjoy working with people.

 Knowledge/Skills:
  • Bachelor’s degree and minimum 2 years of related experience.  Non-profit experience preferred but not required. 
  • Experience with writing in a marketing and/or public relations style preferred.  Demonstrated ability to produce high-quality work, frequently on a tight deadline .
  • Ability to proofread content and communications collateral for gramma and spelling.
  • High-level proficiency in Microsoft Word and Excel required.  Demonstrated familiarity with database management, website design and management, and social media strategy.
  • Adobe InDesign or Photoshop and some basic HTML experience preferred, but not required.
  • Strong research skills required, and the ability to identify the most appropriate and efficient research tool for the task at hand. 
  • Must have experience in tailoring materials and messages consistently and appropriately across multiple media platforms, including print, press release, social media and website.
 
Complexity/Problem Solving:
  • Self-motivated and ca successfully work independently with specific direction and limited supervision.
  • Must be able to coordinate and track multiple tasks for concurrent projects, keeping each deadline and project goal in mind.  Ability t efficiently schedule time for day-to-day tasks, long-range projects, ad last-minutes assignments.
  • Must demonstrate a growing knowledge of IRC’s work, increasing the ability to solve day-to-day communications and technology issues based on past experience.
  • Ability to provide effective communications and support to a variety of audiences, including volunteers, visitors, general public, partners, executives, government officials, and co-workers.
  • Manage Communications functions in supervisor's stead when necessary; must be able to filter and address media requests, inquiries from the public, and partner needs, using senior managers as a resource.
  • Resolve routine problems independently and conduct follow-up as needed. Experiment to find creative solutions using existing resources before relying on supervisor.
  • Make day to day decisions within the scope of position; interpret guidelines and analyze information.
  • Demonstrate common sense, adaptability, and teamwork with the ability to exercise independent judgment.
  • Adapt or modify processes or systems in response to changing circumstances.
Communication/Interpersonal:
  • Ability to clearly and confidentially communicate complex issues and detail to a variety of audiences, both verbally and in writing.
  • Service-oriented. Courteous, personable, tactful, and experienced dealing effectively with all employees, vendors, partners, volunteers, and the general public.
  • Assist in representing IRC at community events and other events.
  • Must be able to comfortably assist members of the media and special guests during events, tours, and on-site photo and video shoots.
  • Strong interpersonal skills; ability to collaborate effectively with co-workers who may have varying backgrounds, subject matter expertise, and work schedules.
  • Demonstrate sensitivity in handling confidential information.
  • Provide a variety of ongoing information support to employees and partners to assist workflow throughout the organization. 
  • Willingness to assume tasks that range from administrative to technical to suit the needs of the communications function.
  • Respond to media inquiries, requests from partner agencies, and respond to inquiries from the public.
 Working Conditions/Physical Effort:
  • Work requires only minor physical exertion or strain. Work occasionally involves exposure to disagreeable elements in an open space or wilderness setting.
  • Frequent travel within the immediate/local area.
  • Willingness to work occasional evenings and weekend days.
  • Flexibility and availability to occasionally work long hours during deadline periods.
  • Work requires the ability to lift, carry, push or pull light weights up to 40 pounds.
  • Requires the use of hands for simple grasping and fine manipulations.
  • Must be able to remain in a prolonged sitting position up to 75% of the time.
  • Repetitive motion. Substantial movements (motions) of the wrist, hands, and/or fingers.
