JOB TITLE: ACCOUNTS PAYABLE CLERK
FLSA STATUS: Regular, Non-Exempt, Full Time
REPORTS TO: Director of Finance & Accounting
CORE FUNCTIONS:
The Irvine Ranch Conservancy Accounts Payable Clerk is responsible for performing all day-to-day payment cycle activities and providing efficient customer service to Conservancy staff and vendors. The Accounts Payable Clerk will ensure correct approval, sorting, coding, and matching of invoices/receipts. This position will be responsible for tracking, processing, and reconciling payments and expenditures, invoices, and statements, and ensuring that all payments are sent on time and in accordance with Conservancy policies and procedures. The position will also process all credit applications and employee check requests. The Accounts Payable Clerk may perform other duties as assigned.

KNOWLEDGE/SKILLS:
- Bachelor’s degree in accounting/finance or high school diploma and 3 or more years of related work experience.
- Familiar with a wide variety of accounts payable processes, including GAAP and understanding of accrual base accounting.
- Demonstrated experience with MS Word and Excel and Google suite.
- Strong organizational skills and ability to organize and prioritize tasks and activities to meet deadlines. A high degree of accuracy and attention to detail are essential.
- Ability to independently coordinate and execute a wide variety of accounting and finance tasks with outstanding quality and results.
- Ability to work effectively with frequently changing and/or unpredictable schedules and events.

- Ability to prioritize, resolve routine problems within the scope of duties, and complete tasks within assigned timeframes, possibly in the absence of direct supervision.
- Demonstrate common sense, logic, flexibility, and teamwork with the ability to exercise independent judgment.
- Resolve day-to-day problems within specific guidelines and parameters of position.
- Consult with supervisor, senior staff, or other team members to resolve unusual or complex problems.
- Comfortable with and able to resolve shifting priorities, deadlines, and routine ambiguity in tasks.
- Track progress on tasks and follow up as needed. Identify routine problems and use existing resources for resolution.
RESPONSIBILITY/OVERSIGHT –FINANCIAL:
- Assist department directors and project managers with invoices, receipts, and expense reports.
- Work with supervisor to prepare monthly accounts payable outstanding reports.
- Duties may be confidential and require discretion, judgment, tact, and poise.
COMMUNICATIONS/INTERPERSONAL CONTACTS:
- Communicate clearly, accurately, and in a timely manner to respond to queries and resolve problems.
- Communicate appropriately with diverse groups including senior staff, landowners, partner organizations, vendors, the community, volunteers, and other staff.

WORKING CONDITIONS/PHYSICAL EFFORT:
- Work requires minimal physical exertion. Work environment rarely involves exposure to disagreeable elements.
- Ability to work in a fast-paced, stressful environment and manage deadlines.
- Repetitive motion. Substantial movements (motions) of the wrist, hands, and/or fingers.
- While performing the duties of this job, the employee is regularly required to sit.
- Flexibility and availability to occasionally work long hours during deadline periods.
